Clear Instructions
Speak simply - since improved communication is the desired result, pay particular
attention to your vocabulary and style. Provide instructions at the beginning of dictation by identifying the project
as a letter, memo, document, etc., as required. Indicating the end of a paragraph and beginning of a new one is also
beneficial.
Clear Dictating
Try not to breath heavily into the phone as it tends to
produce a rough sound which may distract the transcriptionist from hearing the words clearly. Please do not chew on
a pencil, pen or any other object while dictating, and be aware of background noises which can also be distracting to
the transcriptionist.
Spell it Out
If
you use an unusual word or a word that sounds the same as another, please spell it out. It is helpful to the transcriptionist
if you spell out any and all proper names, even those that appear to be very common.
